Automated Replenishment in Odoo: Preventing Stockouts and Overstock

Covering minimum stock, reordering rules, replenishment, and procuring or transferring stock based on demand.

The most crucial stock problem is stockouts when a customer orders, and overstock when money is tied up in the warehouse. Odoo bridges both with automated replenishment — stock ordered or transferred based on demand, not guesswork.

1. Two Enemies: Stockout and Overstock

  • Stockout — lost sales, disappointed customers, production stops.
  • Overstock — capital tied up, higher holding costs, risk of obsolete/expired goods.
  • Guesswork — ordering too much in a panic, too little when busy.

Automated replenishment replaces guesswork with measurable rules.

2. The Concept of Automated Replenishment

  • Reorder Point (Minimum Stock) — the threshold; when (forecasted) stock reaches this, the system triggers replenishment.
  • Maximum Stock — the upper limit; the ordered quantity is calculated to bring stock back to this level.
  • Safety Stock — a buffer for demand/lead-time uncertainty (often represented by min stock).
  • Lead Time — time from ordering until goods are available; determines when to trigger.
  • Multiple Quantity — quantity rounding (e.g. multiples of 12/box).

3. Reordering Rules in Odoo

Go to Inventory → Operations → Replenishment, then create a Reordering Rule per product (and per location):

  • Product — the item being monitored.
  • Location — the warehouse/location whose stock is maintained.
  • Min Quantity — the reorder point.
  • Max Quantity — the target after replenishment.
  • Multiple Quantity (optional) — quantity rounding.
  • Trigger — Auto (run by the scheduler) or Manual (Order button).

4. How Odoo Calculates Demand

Odoo does not only look at physical stock, but at the forecasted quantity (available stock minus commitments plus scheduled incoming). So the replenishment decision already accounts for:

  • on-hand stock,
  • goods already ordered by customers (outgoing),
  • goods in transit (incoming),
  • reservations and planned production.

The result: replenishment is triggered before stock actually runs out, not after.

Warehouse & stock

5. Replenishment Sources: Buy, Manufacture, or Transfer

Odoo chooses the source based on the routes enabled on the product:

  • Buy — creates an RFQ/Purchase Order to the vendor.
  • Manufacture — creates a Manufacturing Order.
  • Resupply / Transfer — creates an internal transfer from another warehouse/location.
  • Combination — e.g. buy for the central warehouse, then transfer to branches.

That way, "demand" is automatically translated into the right procurement or transfer document.

6. The Automated Flow

  1. Stock drops due to sales/consumption.
  2. Odoo compares the forecasted quantity with min stock.
  3. If below min, the system calculates the qty up to max (with multiple rounding).
  4. The scheduler creates an RFQ/PO, MO, or transfer per the route.
  5. The team just reviews & approves the documents (may be automatic per policy).
  6. Stock returns to a healthy level; the cycle repeats.

Run Inventory → Operations → Run Scheduler periodically, or rely on the cron that runs automatically.

7. Settings That Determine Accuracy

  • Vendor & manufacturing lead time — the more accurate, the more timely the ordering.
  • Realistic min/max — based on demand patterns, not feelings.
  • Multiple qty & UoM — match the supplier's packaging.
  • Correct locations — rules per warehouse so inter-warehouse transfers are right.
  • Product routes — enable Buy/Manufacture/Resupply per source.
  • Clean forecast — validate transfers & POs so calculations are not wrong.

8. Best Practices & KPIs

Best practices

  • Start with fast-moving and high-value products.
  • Review min/max regularly (seasonality/demand changes).
  • Watch exceptions — items that are constantly empty or piling up.
  • Use barcodes & transaction validation to keep the forecast accurate.

KPIs

  • Stockout rate — % of demand unmet due to being out of stock.
  • Inventory turnover — how fast stock rotates.
  • Overstock / days of inventory — how long stock is held.
  • Service level — % of orders fulfilled on time.
  • Reorder accuracy — how often rules trigger the right quantity.

Closing

Automated replenishment is not just "automatic ordering". It is a system that keeps stock in a healthy zone — enough to serve, not excessive to tie up capital. With minimum stock, reordering rules, accurate lead times, and the right routes, Odoo helps you prevent stockouts while avoiding overstock. Start with simple rules, measure the results, then refine.
